IMAP or POP3: which protocol to choose for GARMTECH Business Email

When you configure an email program, you usually need to choose between IMAP and POP3 for receiving mail. Both work with GARMTECH Business Email, but they behave very differently.

Recommended choice for most users: IMAP

IMAP keeps your emails on the server and synchronizes folders (Inbox, Sent, etc.) across all devices.

  • Best for using email on multiple devices (phone + laptop + webmail).
  • Your folders stay consistent everywhere.
  • Easier recovery if a device is lost (mail remains on the server).

When POP3 makes sense

POP3 downloads messages to one device. Depending on settings, it may remove emails from the server after download.

  • Best for one device only (classic “single computer” setup).
  • Can reduce server usage if you intentionally keep mail locally.
  • Risk: if the device fails and you have no local backup, emails can be lost.

Tip: If you want to use Gmail to “fetch” mail from another provider, note that some platforms are reducing support for POP fetching. For stable multi-device work, IMAP is usually the better choice.

GARMTECH email settings (secure ports)

Important: for secure connections, use the server hostname from your service (not your domain name) to avoid SSL certificate warnings.

  • IMAP (incoming): SSL/TLS, port 993
  • POP3 (incoming): SSL/TLS, port 995
  • SMTP (outgoing): SSL/TLS, port 465, authentication required

Where to find your server hostname

  1. Log in to My.GARMTECH.
  2. Open your email/hosting service and locate the Server hostname (sometimes called “Server name”).
  3. Use this hostname as the mail server in your email client settings.

Quick decision guide

  • If you use webmail and a phone → choose IMAP.
  • If you need one “archive PC” and never sync elsewhere → POP3 can work (make backups).
