Cloud Storage: share a link with password and expiration date (secure sharing)

GARMTECH Cloud Storage (powered by Nextcloud) lets you share files and folders by creating a public link. To keep sharing secure, you can protect the link with a password and set an expiration date.

Create a secure share link

  1. Log in to Cloud Storage and open Files.
  2. Find the file or folder you want to share.
  3. Click the Share icon.
  4. Enable Share link (sometimes called Public link).

Add password and expiration

In the share options for the link:

  • Password: enable password protection and set a strong password (avoid short or reused passwords).
  • Expiration date: pick a date when the link should stop working automatically.

Tip: If you cannot see password/expiration options, your administrator may have changed link-sharing policies.

Optional: control what recipients can do

Depending on your Cloud Storage settings and what you share (file vs folder), you may be able to control:

  • Read-only vs allow upload (for folders)
  • Allow editing (for collaboration scenarios)
  • Hide download (in some configurations)

Share the link safely

  • Send the link and the password via different channels (for example: link by email, password by chat).
  • Avoid posting public links on social media if the data is confidential.
  • If you need a “file drop” workflow, share a folder link and enable upload permissions only.

How to stop sharing (revoke access)

You can revoke access at any time:

  1. Open the file/folder Share panel again.
  2. Disable the link share (or delete the link).

Where to review your active shares

To audit what is shared:

  • Use the Shares / Shared section (the exact name depends on your interface) to see items shared by you and with you.
  • Look for “shared by link” items to quickly find public links.

Best practices

  • Use password + expiration for external recipients.
  • Prefer sharing with named users/groups when possible (easier to audit and revoke).
  • Review and remove old public links regularly.
