Mailbox full (quota exceeded): free up space in GARMTECH Business Email

When a mailbox reaches its quota, new messages can be rejected with a “mailbox full”, “quota exceeded” or similar bounce. This usually affects incoming mail first.

Step 1: Confirm that the mailbox is out of space

  • Check your mailbox usage indicator in GARMTECH.Email (if shown).
  • If you use an email app (Outlook/Apple Mail/etc.), check folder sizes or mailbox quota information.
  • If you received a bounce, read it carefully: it often includes “quota exceeded”, “mailbox full”, or a storage-related error code.

Step 2: Free up space (fast)

  1. Delete large messages (start with emails that have big attachments).
  2. Empty Trash and Spam/Junk folders — deleting is not enough until these folders are emptied.
  3. Clean Sent items (large attachments are often there too).
  4. Archive locally:
    • If you use IMAP, you can create a local archive (for example, an Outlook .PST or local folders) and move old emails there.
    • Download important attachments to your computer or Cloud Storage, then remove them from old emails.

Tip: After cleaning, wait a minute and refresh webmail — quota indicators may update with a small delay.

Step 3: Increase mailbox quota (if your plan allows)

This depends on where your mailbox is hosted:

  • Hosting email in Plesk: you can often increase the mailbox size limit in Plesk:
    1. Log in to Plesk from My.GARMTECH.
    2. Open Mail → select the mailbox.
    3. Find Mailbox size (quota) and set a higher value (or “Default” if you want to follow the plan limit).
    4. Save changes.
  • Business Email: mailbox storage is defined by your email service plan. If you consistently hit the limit, consider upgrading the email service/storage in My.GARMTECH.

Step 4: Prevent it from happening again

  • Keep auto-deletion for Spam/Trash (if available in your client/webmail).
  • Store large files in Cloud Storage and share a link instead of attaching huge files repeatedly.
  • Review your “Sent” folder periodically (it grows quickly in business mailboxes).
